Every Action Logged: How a Secure School Builds Parent Confidence

A school ERP holds minors' names, addresses, photographs, medical notes, academic records and payment history. That is among the most sensitive data any small organisation handles, and it is why security deserves more scrutiny than a line on a feature list.
Tenancy is the first boundary
In multi-tenant software, every school shares infrastructure. The guarantee that matters is that no query, report or export can ever cross from one school into another.
Ask how that isolation is enforced and what happens when a user belongs to more than one context. Vague answers here should end the conversation.
Roles should be restrictive by default
Not everyone in a school needs everything. A class teacher needs their own classes. An accountant needs finance but not marks. A parent needs their own children and nobody else's.
Systems that grant broad access and rely on staff restraint eventually leak. Systems that deny by default and grant explicitly do not.
- Separate portals for administrator, accountant, teacher, parent and student
- Finance write access limited to finance roles
- Parents scoped strictly to their own children
Logs turn disputes into facts
When a mark changes or a fee is waived, the question is who did it and when. An audit log answers that in seconds and removes the need for anyone to be believed on trust.
It also has a preventive effect: staff behave differently when actions are attributable.
Protect credentials and payment secrets
Payment gateway secrets and passwords must be encrypted at rest, never displayed after entry, and never written to logs. Ask specifically whether a payment secret can be read back out of the interface — the correct answer is no, only the last few characters.
Why this builds parent confidence
Parents rarely ask about encryption. They ask whether other parents can see their child's marks, and whether the school knows who changed something.
Role isolation and audit logs are the plain-language answers to both, and they are what make a school comfortable opening its records up in the first place.
Isolation between schools, deny-by-default roles, and a complete audit trail are the three security properties worth insisting on. They are also what let a school be genuinely transparent with parents.
